What is this Document?
This document outlines the terms and conditions for attendees wishing to reserve a table in the Scotiacon Artist Alley. By registering for a table you agree to be bound by the terms and conditions in all the following sections.
Main Terms and Conditions
- The Convention reserves the right to refuse an Artist Alley table to anyone for any reason.
- Artist Alley applications will be considered and accepted via a review of the applicant's portfolio. Typically this would be through examples of the applicant’s work shared via a public online platform such as a gallery website or social media. If you do not have any online showcase of your work that you can share you may email the Dealers’ Den with examples of your work. When doing so, please provide your business name, registered furry name and pictures of your work.
- Alley Assistants are NOT allowed to sell any merchandise of their own, they must go through the application process to secure their own table to sell from. Failure to comply with this will result in the Alley Assistant being told to remove the offending items and being asked to leave the Alley area.
- The Convention Staff reserve the right to prohibit the sale of any item they deem inappropriate at any time, shut down a table or make other requests with which you must comply, without refund or compensation.
- Artist Alley dealers are expected to maintain their table throughout their allotted time.
- For health and safety reasons and due to the nature of the Artist Alley tables all items must be at table height, large displays are prohibited from Artist Alley. Failure to adhere to this rule may see future applications declined.
- Scotiacon only provides space for dealers and is not responsible for any business between attendees and dealers. As such, the Convention will not get involved in any disputes between attendees and dealers, nor take any responsibility for such.
- The Artist Alley management does not tolerate abuse of any staff/crew members or other dealers. Any such incidents may result in you being removed from the Artist Alley, without a refund or compensation, and may result in further action being taken in line with the Convention’s policies.
- Dealers must not actively sell or solicit trade at any location within the hotel or grounds other than the Dealers’ Den, Artist Alley, or Art Show/Auction without explicit permission from the Scotiacon Board of Directors.
- You may not resell your table to another party; if you cannot attend, or wish to cancel for any reason prior to the convention, you may do so without charge. However, we would prefer notification in advance, so we can make the space available to others. The deadline for such cancellations is one week prior to the convention, except in exceptional circumstances.
- Failure to notify us in advance of your intention to drop out from your confirmed space may jeopardise your eligibility for a space in the Artist Alley in future years.
- Please refrain from activities that might distract or disrupt other dealers. Such as playing music, using machines that make a lot of noise, etc.
- Keep pathways clear; your main areas for storage are under your table. We do not allow for seating in front of your table except for the accessibility requirements of customers who may require this.
- Dealers are responsible for keeping the area around their table clean and tidy at all times and must ensure that all rubbish has been put in the bins at the end of the table slot.
- Scotiacon accepts no responsibility for any property which is lost, stolen, or damaged during the convention unless caused by our own negligence.
- Scotiacon event staff may take photographs in the Alley for advertisement purposes, if you do not wish to participate please contact the Dealers’ Den Operations table, located within the Dealers’ Den.
- The Artist Alley is intended primarily for sale of furry related merchandise only. Merchandise from related fandoms and interests, such as anime, are permitted but should not be the main focus of your table.
- Gambling is not permitted in the Artist Alley due to UK gambling laws. Games such as, but not limited to, lucky dips, tombolas, raffles, and similar must have a guaranteed prize with every play.
- We cannot allow the sale of food or beverages by dealers in the Artist Alley, though you can put a bowl of free pre-packaged sweets out on your table.
- Please note the consumption of alcohol is strictly prohibited within the Artist Alley. If you are found to be breaking this rule you will be asked to leave the Artist Alley immediately and forfeit your table payment.
- To confirm that you have read, understood, and will abide by these terms and conditions, please enter the рasscоde ‘ComicSansIsBest’ (no quotes) into the relevant field on the application form.
- For items that are intended to be used on or which may come into contact with skin, such as soaps or fursuit sprays, you must have the required information on labels including, but not limited to, every ingredient used, allergens, batch number, and in the case of soaps a Cosmetic Product Safety Report (CPSR).
- A note will be made of any dealer found to be consistently breaking any of these rules, for future reference.
- If you are in doubt about any of these rules, please contact the Dealers’ Den team at [email protected] before the convention.
A Note on Registration & Artist Alley Applications
- We are aware and respect that some people decide convention attendance on whether they are able to have a table in the Artist Alley. Unfortunately, we do not accept not being successful in applying for an Artist Alley table as grounds for cancellation and refund of registration.
- If you have any questions, please refer them to our Dealers’ Den team at [email protected].
Den Health & Safety Policy
- If you feel or become unwell during con please notify a member of staff or the Welfare team immediately and do not attend your Artist Alley table.
- If you have any allergies that you feel may affect your participation in the Artist Alley, e.g. a severe nut allergy where nuts being consumed in the immediate area may cause you harm, please make this clear to our Staff before arriving at the Artist Alley by emailing us at [email protected].
Copyrights, AI & Patents
-
No items may be sold which depict the Scotiacon logo or other convention trademarks (including representations of Wallace) without the express written consent of Scotiacon management.
-
We do not permit the sale of Items or services featuring copyrighted characters or intellectual property (IP) in the Artist Alley without express written permission of the copyright holder. This includes, but is not limited to:
- Art featuring copyrighted characters, even if rendered in your own style.
- Any physical or digital products featuring copyrighted IPs.
- Commissions to be completed either at con or afterwards that contain copyrighted IPs.
-
If you're unsure whether an item may violate this policy, please contact the Dealers’ Den team via email at [email protected] before bringing it to the Artist Alley.
-
Artist Alley reserves the right to request the removal of any items featuring copyrighted characters or intellectual property if evidence cannot be provided that you have permission to use them. If you are found selling such items after being asked to remove them, you will be asked to leave the Den immediately, and table fees will not be refunded.
-
If you have a license to utilise copyrighted IPs in your merchandise, this must be personal to you and produced on demand for review by the Artist Alley staff. Please note that we do not accept general declarations by assumed copyright holders, for instance, on social media platforms or websites, as these are not always reliable and may not be enforceable in the event of any issue, as they could be deleted without notice.
-
If you are printing 3D sculptures that are not of your own design you will be required to provide a commercial license certificate/proof to be able to sell these items within the Artist Alley.
-
The Scotiacon Artist Alley operates a zero-tolerance on AI-generated art. Any work created with the sole use or assistance of AI technology is prohibited within the Artist Alley. If your stall is found to contain AI work you will be asked to leave the Artist Alley immediately without reimbursement.
Adult Materials
- The Artist Alley, as with the rest of the convention, is for over 18s only so adult-oriented materials may be sold and may occasionally be visible.
- Adult artwork should be kept out of sight or in clearly marked folders unless it is being looked at. Where practical, adult and non-adult art should be separated.
- The Artist Alley staff will assess all tables prior to the Artist Alley opening and you may be asked to censor or remove any items that are deemed inappropriate.
- Adult 3D artwork/sculptures must be completely covered (e.g. under a veil) or kept under the table unless being looked at.
- The sale of any item not allowed by the Prop and Weapon Guidelines, as available on the Policies section of our website at www.scotiacon.org.uk, is strictly prohibited in the Artist Alley.
- We also do not permit the sale of sex toys, fetish items, or anything else that the Artist Alley staff deem to be inappropriate for the setting.
- If you are found to be breaking these rules you will be asked to leave the Artist Alley immediately and forfeit your table payment.
